An AI maturity assessment scores how far an organisation has moved from isolated experiments to routine, governed use of AI across its teams. A useful assessment covers five things: leadership sponsorship, tooling and access, staff skills, workflow redesign, and governance. It is a diagnostic, not a procurement exercise: the output should tell you which of those five is your binding constraint, because that is what determines whether the next round of licences gets used.

Start from hours, not licences. Take the hours a workflow consumes today, apply the loaded salary cost of the people doing it, estimate the share AI realistically removes for that specific task, then subtract tooling and training costs. The result should be expressed as a band rather than a single figure, because measured productivity gains vary widely by task type. Licence spend alone tells you nothing about return: an unused seat has a negative ROI whatever the tool costs.
It depends on team size and how much of the work is language-based. In defined cases, yes. The EU AI Act reaches beyond the EU: it covers providers placing AI systems on the EU market regardless of where they are established, and providers and deployers outside the EU where the output of the system is used in the EU. A UK company with EU customers, EU staff or EU operations should assume it may be in scope until it has checked. This is general information, not legal advice.
Article 4 requires providers and deployers of AI systems to take measures to ensure a sufficient level of AI literacy among the staff and other people operating those systems on their behalf, taking into account their technical knowledge, experience and training, and the context the systems are used in. The obligation has applied since 2 February 2025, with supervision from 3 August 2026. In practice it means documented, role-appropriate training rather than a one-off all-hands briefing.
